BOOKING INFORMATION

Upon execution of rental agreement, the event is assigned to the Assistant Director responsible for all operational details of the event from move-in to event performance, to move-out. The Assistant Director who is the Renter liaison with the Coliseum staff will provide all necessary information and coordination. After meeting with the Renter, the Assistant Director will prepare an estimated statement of reimbursable expenses that the Renter will be financially responsible for at the time of settlement. A copy of the estimated expenses will be provided to the Renter and will be considered an addendum to the contract. If, at the sole discretion of the Mid-South Coliseum, advance ticket sale proceeds are not sufficient to cover facility expenses, Renter may be required to make additional deposits prior to the event. If such deposits are not made within a designated time frame, the event may be cancelled, resulting in the Renter's deposit being forfeited.

Settlement

At the conclusion of the event, the Renter will be responsible for settling all outstanding facility expenses. The settlement will take place at the office of the Mid-South Coliseum. In the settlement, the Renter will be presented with available documented facility expenses, including, but not limited to, rent balance, ticketing expenses, taxes (if applicable), catering expenses (if applicable) and ticket settlement. In the event ticket proceeds do not equal expenses due, the Renter shall be responsible to pay the amount due at the time of settlement. Any unresolved or outstanding expenses from the event are to be settled within thirty (30) days.

Any questions regarding financial settlement should be directed to the Managing Director's Office at (901) 274-3982.

Insurance Requirements

The Renter shall carry a policy of Commercial General Liability Insurance (Insurance Services Office form or equivalent approved by the Mid-South Coliseum) covering Renter for the period of the Event providing coverage on an “occurance” basis (as opposed to “claims made”), with a combined liability policy limit not less than the Minimum Liability Insurance Limit specified in the Renter agreement. The Insurance certificate will be due prior to tickets going on sale. The Insurance certificate will name, as additionally insured, the County of Shelby and its officials, the City of Memphis and its officials and the Mid-South Coliseum, its officials and Board Members.
